Why Search Console query rows do not match totals

Understand gaps between visible query rows, page reports and aggregate Search Console numbers.

THE SHORT ANSWER

A table of available queries is a view of search activity, not necessarily a complete ledger. Differences in filtering and aggregation also matter. Treat a mismatch as a reporting question first, and avoid manufacturing an “other” category with a meaning the source never provided.

Work through it, step by step.

  1. Record the exact property, period, search type and filters used by the total and by the table. Remove accidental differences before comparing the numbers.

  2. Check whether the export or tool response was truncated. A row limit describes what you received, and pagination can improve coverage without guaranteeing every possible query.

  3. Distinguish property totals from page-grouped reports. Keep the aggregation labels in your spreadsheet or dashboard so future readers know what they are comparing.

Make it concrete.

A query export contains 8,000 clicks while an unfiltered summary shows 9,200. Reporting the export as “all queries” would overstate its completeness; reporting the two totals with their scope preserves the useful evidence.

What to keep in mind.

Some query information is withheld, and filtering can change which activity contributes to a report. A missing row is not evidence that a query had no searches.
